Log in to your speaker account. Edit your profile to check it and upload your short biography and a head and shoulders photo.

Poster formatting:

  • .pdf file (preferably)
  • Landscape format works best

Prepare one Figure (.jpeg) and one Key Highlight (a short sentence) that summarises your posters main findings/results.

Send your figure and key highlight by email to events@ecmwf.int

The figures and key highlights will be compiled into a slideshow by the organisers to accompany your 2-minute oral poster pitch/mini-talk.

Day of Session

(29 June 2021 to 1 July 2021)

Oral presentation/ 2-minute pitch

Prepare a mini-talk or oral pitch of your poster to be presented by video/audio via Zoom. The pitch should be no longer than 2-minutes in duration due to the number of presenters per session. Speakers will be responsible for keeping track of the 2-minute time limit! 

The pitches will be grouped by topic with 2-3 speakers per group. The workshop organisers will prepare slides per group of 2-3 (with speakers bio/photo/title of the poster/figure/key highlight) to accompany the 2-minute pitch.

Day of Session

(29 June 2021 to 1 July 2021)

Discussion

You will need to make yourself available to discuss your poster (audio/video) with other people attending the workshop during the poster session.

The poster session will last about 30 minutes and will be hosted in Gather.Town, an interactive platform that virtually mimics ECMWF centre in Reading, UK.

Guidelines

You will be allocated a page on the virtual event platform which will contain your poster, abstract and biography. This will be available for viewing throughout the workshop. The comments field at the bottom of your page can be used as a blog for you to interact with participants about your poster. The link to the virtual event platform will be sent to you closer to the time of the workshop.

The poster sessions will take place in the Gather.Town platform. Your poster will already be pre-loaded on the Gather.Town, please stand by your poster during the sessions. Visit the virtual event platform for guidelines on using Gather.Town.

What to do on the day of your presentation

  1. Use the Zoom link to join for your pitch
  2. Log in early! Join Zoom before your session starts. This will allow us to deal with any last-minute technical issues and talk through how the session will run
  3. Ensure your video is switched on
  4. Ensure your microphone is muted - we will ask you to unmute your microphone at the appropriate time
  5. We may mute your mic again when you’ve finished speaking
  6. Ensure your mic is unmuted when you want to speak
  7. When the pitches have finished, head over to Gather.Town to present your poster

Recording

The live stream will be recorded and will be published online for viewing on demand. If you have any issue with this, contact events@ecmwf.int

Attending as a delegate

Only join Zoom for the session in which you are presenting. You can view the other sessions via the live stream. Do not have the live stream open while you are in Zoom, as this may result in you hearing delayed audio back on yourself.
